About The Role:
Reporting to the Controller, the Accounting Clerk supports day-to-day expense administration by processing expense reports, reviewing Float activity, following up on missing documentation, and coding transactions in the ERP and Melon. Working closely with employees and the Finance team, this role ensures records are complete and accurate, follows established procedures, and escalates discrepancies or policy exceptions for review. 

Key Responsibilities:
Expense processing and follow-up
  • Process employee expense reports and review submissions for accuracy, completeness, policy compliance, and required documentation.
  • Review Float transactions and follow up with employees on missing receipts, unclear descriptions, discrepancies, or corrections.
  • Track unresolved items and escalate policy exceptions or questions requiring Finance review.

Finance and expense inbox
  • Monitor the shared finance or expense inbox, respond to routine questions, and organize incoming requests.
  • Follow up on outstanding documentation and maintain clear correspondence on request status and next steps.

Transaction coding and records
  • Apply accurate account, cost centre, and project codes, and enter transactions in the ERP and Melon according to company procedures.
  • Maintain organized digital records and a clear audit trail of supporting documentation, corrections, follow-up, and escalations.
  • Protect confidential financial and employee information and use approved systems and information-handling practices.

Accuracy and process improvement
  • Communicate discrepancies and unresolved items to Finance and seek guidance when coding or documentation is unclear.
  • Support consistent expense practices and suggest practical improvements to routine processes.

Qualifications
  • Relevant education in accounting or bookkeeping, or equivalent practical experience.
  • Basic bookkeeping knowledge and an understanding of expense classification and coding.
  • Accurate data-entry skills and strong attention to supporting documentation.
  • Clear written and verbal communication, including tactful employee follow-up.
  • Working knowledge of spreadsheets and Microsoft 365 tools.
  • Organization, sound prioritization and the ability to handle confidential information.
  • Ability to use an ERP and learn Float, Melon and company expense procedures.

Preferred Qualifications
  • Experience processing employee expense reports or reviewing transaction documentation.
  • Experience monitoring a shared inbox and coordinating documentation follow-up.
  • Familiarity with Float or Melon.
  • Experience entering and coding transactions in an ERP.
  • Experience maintaining organized digital financial records.

Compensation package:
  • Competitive salary: $58,000 - $60,000 CAD
